Purpose
Some of our services let you keep a card on file, so that a bill can be paid without entering the card again. This policy explains when we ask for a saved card or another automatic payment, when it may be charged, what it is never used for, and how to change or stop it.
How a saved card is kept
- Stripe keeps it. Cards and bank accounts on file are kept by Stripe, our payment processor, and entered on Stripe's own secure page. NEO never sees or stores your full card number or bank details. We see only enough to tell which card or account it is, for example "Visa ending 4242".
- Saving is not paying. Nothing is charged when you save a card, and we tell you so when you save it.
When we ask for a saved card
- Booking a service on its page. When you book a service with Checkout on its page on our website, the last step is saving a card. It may be charged later only for an invoice for work we have already done.
- Notary and commissioning appointments. When you request an appointment through the notary form on our website, for example to swear an affidavit or make a statutory declaration, you save a card. Nothing is charged before your appointment. Once the service is done, the fee, plus HST, is charged to that card automatically, and you get the invoice and a receipt by email.
- Memberships. A membership is paid automatically for each month or year, counted from the day it started, until it ends: by card or, where we offer it, by pre-authorized debit from your bank account. Where we offer it, you can instead pay by an invoice we email you each time. Our Membership Terms explain how payments, failed payments and cancelling work.
What a saved card is never used for
- Money for work not yet done. A saved card is never charged for a retainer deposit, or for any other money paid in advance for work on your matter. That money must be held in trust, under our Trust Accounting and Client Money Policy.
- Anything you haven't agreed to. A card saved for a booking is used only for invoices for completed work in the matter you booked, and a card or bank account saved for a membership only for that membership. We don't use a saved card for anything else without your permission.
When a charge is made
- You get an invoice or a receipt by email for every charge to a saved card.
- If a charge doesn't go through, we email you the invoice with a link to pay it another way. For a membership, Stripe tries again over the next few days, as the Membership Terms explain.
Changing or stopping a saved card
- Memberships. You can update your card or bank account from your membership page at any time, and cancel as the Membership Terms explain.
- Other saved cards. Tell us in writing, by email to info@neolegalservices.com, if you want us to stop using a saved card. We won't charge it after we receive your message, and we will send your invoices with a link to pay instead. Stopping a saved card doesn't change what you owe.
- A new card. If your card is lost, stolen or replaced, tell us and we will arrange another way for you to pay.
Using someone else's card
Use only a card or bank account you are authorized to use. If someone else is paying for you, our Third-Party Payers Policy applies.
Questions about a charge
Please contact us first. Our Payment Disputes and Chargebacks Policy explains what to do if a charge looks wrong, and our Payments and Refunds Policy explains how refunds work.
Review
This policy is reviewed at least once a year, and whenever the Law Society's By-Laws or rules change. The principal approves every change. We also review it whenever the way we take payments changes.
