From your first call to a closed file

How it works

Each step between getting in touch and the day we close your file, in order. You see the scope of the work and the fee in writing before you commit, and you can follow your matter online throughout. NEO Legal Services Professional Corporation is a paralegal firm, not a law firm, led by Mo. Farooqui, Licensed Paralegal, and regulated by the Law Society of Ontario.

Before you become a client

Getting in touch is not the same as hiring us: a phone call, an email, a booked consultation or an automatic email reply does not, on its own, make you our client. A paralegal-client relationship begins when we confirm in writing that we will act for you, normally when the retainer agreement is signed (step 5). Until then, please send only the basics: your contact details, the names of the other people or businesses involved, and any deadline you have been given.

This page is general information about how we work. It is not legal advice.

Step by step

What happens, and in what order. Some matters combine two steps, but most follow this path.

  1. Tell us what is happening

Book a free first consultation (by phone, by video call or at our office), or simply call or email us: our details are on the contact page. Tell us briefly what kind of matter it is, who the other side is, and any date you have been given.

    • The first consultation is free, and you are under no obligation to go further
    • Mention any deadline straight away, so time limits are looked at first
    • Keep your papers handy: a notice, ticket, claim, lease, contract or letter
    Book a free consultation
  2. We check for conflicts of interest

Before we can act for you, we must be sure that doing so would not conflict with our duties to another client, past or present. We search our records for the name of every other person or business involved in your matter.

    • This is why we ask for the other side's names early
    • Until the check is done, keep the details of your matter short
    • If there is a conflict, we let you know that we cannot act, so you can look for help elsewhere
  3. We verify your identity

The Law Society of Ontario’s By-Law 7.1 sets out how licensees identify and verify the people they act for, and we ask every new client to verify their identity. Once your client portal account is set up, you enter the details from a government-issued photo ID, with your home address and occupation. We check them against your original ID, and if we need to see it, we arrange that in person or by video call.

    • ID you can use: Driver's licence, Passport, Permanent resident card, Canadian citizenship card, Secure Certificate of Indian Status, Other government photo ID
    • We do not accept a health card as ID (Ontario law limits who may collect health card numbers), so please do not send one
  4. You get the scope and the fee in writing

The licensed paralegal responsible for your file reviews your documents and the facts, and explains your options, the steps ahead and the deadlines that matter. We may ask you to complete an intake form in your portal so we have the full details. If we can help, we set out what the work includes, what it does not include, and the fee. Most of our services have a fixed fee, shown on our Services & Prices page.

    • What is and is not included, in plain language
    • Out-of-pocket costs, such as court or tribunal filing fees, are charged at cost, and HST is added where it applies, as your retainer sets out
    • Where a fixed fee does not fit the matter, we explain in writing how the fee will be worked out before we start
    • If your matter needs a lawyer, we tell you so (see below)

  5. This is normally where you become a client

You sign the retainer and make any payment it calls for

The retainer agreement records the scope of the work, the fee and how it will be paid. It arrives in your client portal, where you read it and sign it online from your phone or computer, and we give you a signed copy. If the retainer asks for a payment before the work begins, you make it then.

    • Money paid before the work is done, such as a retainer deposit, is deposited to our trust account and applied to your invoices as the work is billed, as the Law Society's rules require
    • Invoices for work already done can be paid by card in your portal or on our Pay page, or by Interac e-Transfer
    • Some services can be paid in instalments, when a payment plan is agreed and written into the retainer
    • Your portal shows your invoices, payment plan, receipts and statements
    Pay an invoice
  6. We work on your matter, and you follow it online

We gather the facts and documents, prepare, file and serve what is needed, deal with the other side, and represent you at conferences, mediations and hearings within the scope of your retainer. Each step appears in your secure client portal as it happens.

    • Your case status and timeline, with the next steps and the dates coming up
    • Documents: upload from your phone and download what we file or receive
    • Messages with us, kept with your file
    • Email reminders before the court and tribunal dates you must attend
    Sign in to your portal
  7. We close your file

When the matter ends, whether by settlement, a decision or otherwise, we close the file. Before it is closed, any money still held in trust for your matter is applied to your final account or returned to you. We can send you a closing letter that sums up where things ended, and we keep your file for the period the Law Society's rules require. You can ask us for a copy of your file.

If your matter needs a lawyer

Licensed paralegals can help with many legal problems, but there are matters a licensed paralegal is not permitted to handle. If yours is one of them, we tell you as early as we can and, if you wish, refer you to an Ontario lawyer.

  • The choice is yours: you do not have to accept the referral, and you are free to hire a different lawyer. We recommend at least two lawyers, or tell you why that is not reasonably possible.
  • The lawyer runs their own conflict check and ID verification, and you sign the lawyer’s own retainer, not ours.
  • If the lawyer pays us a referral fee, it comes out of the lawyer’s fee, only after the lawyer has been paid, and it never adds to what you pay. It is set out in the Law Society’s Referral Agreement, which you sign.
  • You can also look for a lawyer yourself, for example through the Law Society Referral Service at findlegalhelp.ca.

Deadline coming up? Call us instead of using a form

Legal time limits are short and strict, and a form or an email may not be read in time. If any of these apply to you, phone us at 647-200-3526 or toll-free 888-519-2435 and tell us the date.

  • A hearing, trial or settlement conference date in Small Claims Court or at the Landlord and Tenant Board
  • A Small Claims Court claim you have been served with: a defence is generally due within 20 days
  • A landlord’s notice to end your tenancy, such as an N4 for unpaid rent or an N12 because the landlord, a buyer or a family member wants to move in
  • A human rights complaint: an application to the Human Rights Tribunal of Ontario generally has to be made within one year of the last incident
  • A traffic ticket or other provincial offence: a ticket generally has to be answered within 15 days, and court dates cannot be missed
  • A claim you have not started yet: most civil claims in Ontario have to be started within two years of when you knew, or ought to have known, about the claim

These are general examples, not legal advice: the time limit that applies to you depends on your facts. If you cannot reach us before your deadline, contact the court or tribunal office directly, or find a lawyer or paralegal through the Law Society Referral Service at findlegalhelp.ca.

Common questions

When do I become a client of NEO?

When we confirm in writing that we will act for you, which is normally when the retainer agreement is signed. A phone call, an email, a booked consultation or an automatic email reply is not enough on its own.

Is the first consultation free?

Yes. The first consultation is free, and you are under no obligation to hire us afterwards.

Why do you ask for the other side's names before the details?

So we can run a conflict check. We have to be sure that acting for you would not conflict with our duties to another client before you tell us the details of your matter.

Do I need to come to the office?

Usually not. Consultations can be by phone or video call, retainers are signed online and you follow your matter in the client portal. If you would rather meet in person, our office is at Unit 236, 1099 Kingston Road, Pickering, ON L1V 1B5, by appointment.

Can I pay in instalments?

For some services, yes, when a payment plan is agreed and written into your retainer. Your portal shows each payment and when it is due. Amounts not paid on time bear interest as your retainer sets out.

What if my matter needs a lawyer?

Some matters are ones a licensed paralegal is not permitted to handle. If yours is one of them, we tell you and, if you wish, refer you to an Ontario lawyer. You pay only the lawyer's own fee: any referral fee is paid by the lawyer, out of that fee and only after the lawyer has been paid, and it never adds to what you pay.
