Interpreters and Translation Policy

Last updated: October 15, 2026

Purpose

Clients must understand the advice they receive and be understood when they give instructions or evidence. This policy explains how NEO works with interpreters and translations.

Our policy

  1. Ask early. At the first consultation, we ask whether the client would like an interpreter, and in which language.
  2. Qualified interpreters for important matters. For instructions, advice and evidence, we prefer a qualified, independent interpreter. A family member or friend may help with simple tasks, but is not suitable where there is a conflict, a sensitive subject, or evidence to be given.
  3. Courts and tribunals. Many courts and tribunals provide or arrange interpreters for hearings when asked in time. We tell the client how to request one, and make the request with them.
  4. Confidentiality. Interpreters and translators we arrange agree to keep the matter confidential.
  5. Translated documents. Documents in another language that will be filed or relied on are translated by a qualified translator, with the translator's declaration where the court or tribunal requires one.
  6. Checking understanding. We confirm important advice in writing and check that the client has understood, using plain language.
  7. Costs. If an interpreter or translator charges a fee, we tell the client the cost before arranging them.
The rules behind this policy

The Law Society of Ontario's Paralegal Rules of Conduct, including competence and quality of service, the Ontario Human Rights Code, and the rules of each court and tribunal on interpretation.

Review

This policy is reviewed at least once a year, and whenever the Law Society's By-Laws or rules change. The principal approves every change.
